What we collect, and what we do with it
This covers two different things: this website, which collects very little, and the trading platform, which necessarily holds more. They are treated separately below.
This policy describes what the website and the platform actually do today. It has not yet been reviewed by a solicitor, and the data controller is not yet named because the operating company is still being incorporated. Both are being done before Floorfilment opens to customers, and this page will be replaced by the reviewed version.
Two points on it need a lawyer rather than an engineer, and they are flagged where they arise: who controls end-customer data, and whether our routing and credit decisions engage the rules on automated decision-making.
Part one: this website
What it collects
Only what you type into the register-interest form: your name and email address, and optionally your company, phone number, postcode area and a message. Nothing else.
Cookies and tracking
None. This site sets no cookies of any kind and uses no analytics, advertising or session-recording service. The typeface is served from our own domain rather than a font provider, so loading a page discloses your address to nobody but us. That is why you are not being asked to accept anything.
Why we collect it
To reply to you about Floorfilment, and to work out which regions have enough retailers and wholesalers to launch in. The lawful basis is our legitimate interest in responding to a business enquiry you chose to send us.
How long we keep it
Until you ask us to delete it, or until it is clear the conversation has ended. We review what is held when a launch region closes. There is no automated deletion yet; it is done by hand on request, and we would rather say that than quote a retention period we do not enforce.
Part two: the trading platform
The platform is the software retailers, wholesalers and fitters sign in to. Trading involves real people and real addresses, so it holds more than the website does.
Business contacts
Name, email address, phone number and business address for the people who use the platform on behalf of a retailer, wholesaler or fitting business. For applications to join, also company number, VAT number, trade body membership and years trading.
Order and delivery details
The delivery postcode, and where a retailer provides them, a delivery contact name, a phone number and delivery notes. These exist so a carrier can find the address and ring ahead.
End-customer details
Where a retailer records the household a floor is going to, that includes a name, email address, phone number and site address. This is the most sensitive category the platform holds, and it is the one the controller question below is about.
Fitter details
Contact details, the postcode areas covered, availability, and where provided, qualifications, insurance and certification references.
Records of use
Sign-in and access records, a security-event log of refused access and similar, and an audit trail of changes. These exist to keep accounts secure and to answer questions about what happened to an order.
What we do not hold
Card numbers never enter our systems. Card payments are handled by a regulated payment provider, and we keep only the reference and the outcome.
For our own users — the people at a retailer, wholesaler or fitting business — Floorfilment is the data controller and this policy governs.
For end-customer details, the retailer decides what is collected and why, which normally makes the retailer the controller and Floorfilment a processor acting on their instructions. If that is right, the household's relationship is with the shop, our obligations are owed to the shop under a contract, and requests should go to the shop first. We believe that is the correct analysis. It is being confirmed, and the contract that goes with it written, before any real customer data is entered.
Both parts
Who else sees it
Our hosting, email and database providers, which process data on our behalf under contract. For an order, the wholesaler that fulfils it and the carrier that delivers it receive what they need to cut and deliver, which for a carrier means the delivery address and contact. Payment providers receive what is needed to take a payment. Nobody receives your details to market to you, and no list is ever sold or rented.
Automated decisions
The platform chooses which wholesaler fills an order by scoring availability, lead time, data freshness and price. That is a decision about businesses rather than individuals. Where trade credit is offered later, a decision about a sole trader could be a decision about a person, and those rules are stricter — so credit decisions will keep a human in them and will be documented here before any credit is offered.
Where data is held
In the United Kingdom. If that changes, the safeguards will be named here before it does.
Security
Access is restricted by role, each business can only see its own records, and access is logged. Refused access and similar events are recorded and monitored.
Your rights
You can ask for a copy of what we hold, ask us to correct it, ask us to delete it, ask us to restrict how we use it, ask for it in a portable form, or object to us holding it at all. Write to hello@floorfilment.com. We will respond within one month. If your request is about end-customer details held for a shop, we will pass it to that shop and tell you we have.
Complaints
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would rather you told us first so we can put it right.
Server logs
Our hosting provider keeps standard request logs, including IP addresses, to serve the site and defend it from attack. We do not use those logs to identify or profile visitors.
Changes to this policy
The date below changes when the policy does. Where a change materially affects how we use your data, we will tell you rather than relying on you noticing.
